Activation Partners
To help create a lively, helpful and credible event-day atmosphere at our events, we invite a small number of aligned brands to participate as Activation Partners.
Our event hub is Fingers Crossed Coffee Shop in Emmarentia, Johannesburg, and serves as a natural gathering point for participants before and after their race attempt. Activation Partners have the opportunity to set up a promotional stand at Fingers Crossed and engage directly with participants, residents, and outdoor-minded Johannesburg consumers and are given a dedicated space outside Fingers Crossed to promote their products and offers.



Our goal is to keep the activation area curated and aligned with the spirit of the event: getting outside, a sense of community and conservation. We are therefore looking for brands that can add genuine value to the participant experience rather than simply placing a logo on the day.

Fingers Crossed Coffee Shop. Off-street, unsecured parking is available immediately outside the venue.
Our last event drew 130 participants, including trail runners, hikers and walkers. Numerous athletic clubs and running groups from around Jo'burg took part. A marginal majority of participants were female.
As we do not collect user demographic data, we cannot accurately report on this. From observation, however, most participants were between the ages of 30 - 45.
The event runs from 07:00 - 11:30. Activation partners are expected to be set up before the start (Fingers Crossed opens at 06:30) and remain on-site and open until 11:30.
We are open to a variety of promotions, including product tests, free samples and competitions; it is up to you. Sales are permitted.
Brands must provide their own setup, including chairs, tables, extension cables and gazebos.
Power and free Wi-fi is available on-site.
Each event day is limited to three Activation Partners.
Accordingly, three sites are demarcated for each Partner and space is allocated on a first-come, first-served basis:

Activation Partners receive additional promotion online on Trail Fund Project platforms. As our events take place over multiple days, our promotion offers are tiered accordingly:

We have photographers taking photos on each event day. An album of photographs is made available in the two weeks following the conclusion of the total event to all activation partners to use for their own purposes.
Our events take place over two separate Sundays. Partners can choose to attend on one or both of the days, at the following prices:

Single day: R1,800

Both days: R2,900
A 50% deposit must be made to secure a spot, with the full amount due no later than 10 business days before the chosen date. Deposits are non-refundable.
There are no additional fees on our behalf.

Goodie Bags and Prize Contributions
Brands that are unable to attend as Activation Partners may still get involved and support the event by contributing to participant goodie bags or prizes. These contributions help improve the participant experience and give aligned brands a simple way to connect with Trail Fund Project participants.



Goodie Bags
As a token of appreciation, participants receive a small goodie bag after completing their race attempt, when they claim their complimentary hot beverage courtesy of our venue host, Fingers Crossed. As a standard, the goodie bag includes a thank-you postcard from us and a Dove product sample (shower gel or deodorant).
Suitable goodie bag items may include nutrition samples, hydration sachets, sunscreen, discount vouchers, wellness offers, local food or drink offers, small outdoor accessories or other items relevant to running, hiking, walking, cycling, wellness or outdoor lifestyle.

Brands must provide enough stock to cover all participants, with a minimum of 250 units.

Items must be useful, appropriate and aligned with the spirit of the event.

Voucher-based contributions must include clear redemption instructions, expiry dates and any applicable terms.

Brands are responsible for all courier or delivery costs to Fingers Crossed, and these must be delivered to Fingers Crossed no later than 10 business days before the first event day.

Trail Fund Project reserves the right to approve all goodie bag items before inclusion.

Prize Contributions
Trail Fund Project currently awards prizes in three categories:

Fastest Man

Lucky Draw
Brands may contribute additional prizes to enhance these categories, either physical or virtual. Each category winner as a standard receives 1 kg of Fingers Crossed coffee beans and one free entry to a future Trail Fund Project event.

Brands interested in providing prizes should provide a minimum of one prize item per category, unless otherwise agreed.

Brands are responsible for all courier or delivery costs for physical prizes and these must be delivered to Fingers Crossed no later than 10 business days before the first event day.

Virtual prizes and vouchers must include clear redemption instructions, expiry dates and any applicable terms.

Winners are responsible for collecting physical prizes unless alternative arrangements are made. We will communicate with them accordingly.

Virtual prizes are emailed to the winners.

Trail Fund Project reserves the right to approve all prize items before inclusion.

Sponsor Acknowledgement
Goodie bag and prize contributors may be acknowledged on Trail Fund Project's digital platforms, depending on the nature and value of their contributions. This may include mentions in participant communications, social media acknowledgements or post-event sponsor thank-you content.
